Job role

1. Insurance: a) Medical Insurance • Apply medical insurance for new employee and their families as per contract and approval of division manager. • Cancel the insurance of resigned/terminated/absconding employees. • Renewal of insurance on every 29th January- DAMAN Insurance and 13th March- ADNIC/ other insurance. • Update/double check the list of employees to be submitted to the Insurance provider during renewal. • Submit all the necessary supporting documents required for processing insurance renewal. • Scan the copies of all the insurance cards in HR folder - employee’s personal file. • Distribution of medical insurance cards to each department. • Coordinating with the Insurance Company for all medical reimbursement of employees. • Updating invoices for payment of ADNIC/DAMAN. b) Other Insurance: i. Fire Insurance ii. Money Insurance iii. Fidelity Insurance iv. Workers Compensation Insurance v. Professional Indemnity vi. Directors & Officers Liability vii. Contractors All Risk viii. Group Life Insurance ix. Public Liability • Maintaining documents of the above said Insurance policies. • Coordinating for the renewals. • Coordinating for the reimbursements. 2. Ticket / Hotel Reservation a) Arranging ticket for current employees of General Admin staff in UAE and all Saudi employees. b) Arranging hotel reservation for Saudi & Lebanon employees. c) Arranging for ticket and hotel reservations for the new employees joining the company in UAE. d) Create LPO for ticket issued/hotel reservation made and getting necessary approvals from the management and forwarding the same to the accounts department. 3. Expense sheet of PRO. a) Create expense sheet for Power, Low Current, AV, NIS, Head Office and Dubai. b) Attach all the relevant documents like receipt/invoices/bills of petrol from Khaled. 4. Petty cash: Request cash from Finance department for Attestation/translation of certificate and keeping account for all the expenses made. 5. Document Update and Creating staff number for new employees. • Input employee’s information in the system. • Update salary fixation based on contract. • Update in the system the labor card number, personal ID, residence visa, emirates ID and medical card. • Send an email to Finance department for approval. 6. Invoice tracking: Tracking of invoice received. 7. Visa Processing: Assist in processing of documents related to visa. A. New visa • Submission of documents. • Advise employees/coordinator for emirates application and medical test • Preparing all documents for visa application B. Renewal of visa • Generating list of expiry visa/labor card for renewal. • Sending email to coordinators for medical test and emirates renewal. • Submit all documents to typing for application. C. Cancellation • Submit documents for cancellation. • Sending email to the Finance Department once cancellation is done. • Handing over the file of employee to the coordinator. D. Change of Salary/Designation in labour contract: • Once memo is received, getting approval from the PR Manager and then send it for typing of application. • Doing follow ups for the same. 8. Stationery requisition: • Procure Stationery like CD Stickers/Envelopes/Box file, etc. as requested by head office. • Business cards for UAE – All Departments. • Business cards/Envelopes for Lebanon 9. Filling: Maintaining the personal files of the existing employees by filing all the documents related to insurance. 10. Company letters: Issue Salary Certificates, Salary Transfer letters, End of service letters(for banks) & Service letters.
